Job Description: Event Coordinator

Job Title: Event Coordinator
Department: Marketing / Operations
Reports To: Events Manager / Head of Marketing
Employment Type: Full-Time

Role Overview

We are seeking a proactive and detail-oriented Event Coordinator to manage the planning, organization, and execution of our company’s events. From intimate corporate meetings to large-scale conferences and social gatherings, you will be the driving force behind every logistical detail, ensuring that every event runs smoothly, on budget, and exceeds expectations.

Key Responsibilities

Planning & Strategy

  • Collaborate with stakeholders to define event objectives, target audiences, and success metrics.
  • Develop comprehensive event project plans, timelines, and production schedules.
  • Research and select venues, vendors, caterers, and entertainment.
  • Manage event budgets, negotiate contracts, and track expenses to ensure cost-efficiency.

Logistics & Execution

  • Oversee the setup, execution, and breakdown of all events.
  • Coordinate transportation, accommodation, and hospitality for speakers, VIPs, and attendees.
  • Manage on-site staff, volunteers, and third-party vendors.
  • Troubleshoot issues in real-time to ensure a seamless guest experience.

Marketing & Communication

  • Work with the marketing team to create promotional materials, invitations, and signage.
  • Manage event registration, ticketing systems, and attendee communication.
  • Develop social media content and post-event follow-up campaigns.

Post-Event Analysis

  • Collect and analyze feedback from attendees and stakeholders.
  • Prepare detailed post-event reports, including ROI analysis and recommendations for future events.
  • Maintain an up-to-date database of contacts, suppliers, and event assets.

Qualifications

Required Skills & Experience:

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or related field (or equivalent experience).
  • 2–4 years of experience in event coordination or project management.
  • Proven track record of managing events from conception to execution (portfolio preferred).
  • Strong budget management and negotiation skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and event management software (e.g., Eventbrite, Cvent, Asana, Trello).

Pay: $433,526 - $1,593,932 per month
